Our recent update of Q4 Press includes a new feature for Authors named Finalize. This is the step you’ll take when your press release requires no further changes and you have obtained the approvals that you require to send the press release to the wire. When you Finalize a press release it becomes read only and no further changes can be made.

Finalizing a Press Release

When you click the Finalize menu option for the press release being viewed, you will see a report that shows you a summary of the activity that has happened on your press release. You will need to confirm that you wish to finalize the press release as well.

The Finalization report includes:

  1. Finalized By: The user who finalized the document
  2. Finalization Date: When the document was finalized
  3. Approved By: Who approved the document for each phase
  4. Rejected By: who rejected the document for each phase
  5. Absent Approver Responses: a list of users involved with the document that did not submit changes, accept or reject the document.
  6. List of Exposures: The author and all approvers will be listed here

Once a press release has been finalized it is moved to the Archive section and cannot be placed back into workflow, thus making it read-only.

You can still view the release, view reports for that release and export it to Word.
